Office Manager

- Salary up to £45,000 per annum

Main Responsibilities:

  • Manage the administration department including overseeing their tasks
  • Management and Development of staff
  • Establish and maintain policies and procedures
  • Assisting executive management when required, covering Commercial duties as required due to annual leave etc,
  • Cash Flow
  • Liaising with other departments and other service providers
  • Overseeing HR requirements in conjunction with line managers and ensuring all necessary records and documentation is completed
  • Ensuring payroll is completed accurately and on time
  • Ensure all invoices are paid on time
  • Vehicle management
  • Health and safety management for offices
  • Allocation of payments/receipts on to the ledger Process purchase invoices
  • CIS processing/return
  • Bank Reconciliations
  • Process Loan accounts
  • Deal with Purchase ledger account queries/Reconcile Supplier Statements.
  • Process weekly and monthly payment runs, process payments to suppliers via BACS.
  • Raise sales invoices in accounting systems and email/post to customers
  • Review overdue accounts, chase payments and resolve any queries..
  • Reconcile credit card statements, ensuring all receipts are coded correctly.
  • Assist the accountants.
  • Prepare VAT returns for accountants
  • Oversee the preparation of site files inc H&S information

What you will need:

  • Leadership skills
  • An HNC or 2 to 3 A Levels, especially in Maths and English or Business Studies, AAT qualification would be an advantage
  • Proficient in the use of accounts software, desirable in the use of office 365, but must have an ability to learn, use and understand systems easily
  • Experience with scheduling and payroll
  • Ability to learn on the job and adapt easily to change
  • Excellent verbal and written communication
  • Training and experience in conflict resolution
  • Management/Supervisory experience/training
  • Previous experience working in the building industry
  • Proactive and innovative to constantly improve the department and wider business
  • Good decision maker
  • Ability to delegate and develop others
  • Good team worker
