Office Manager

- Salary up to £45,000 per annum
Main Responsibilities:
- Manage the administration department including overseeing their tasks
- Management and Development of staff
- Establish and maintain policies and procedures
- Assisting executive management when required, covering Commercial duties as required due to annual leave etc,
- Cash Flow
- Liaising with other departments and other service providers
- Overseeing HR requirements in conjunction with line managers and ensuring all necessary records and documentation is completed
- Ensuring payroll is completed accurately and on time
- Ensure all invoices are paid on time
- Vehicle management
- Health and safety management for offices
- Allocation of payments/receipts on to the ledger Process purchase invoices
- CIS processing/return
- Bank Reconciliations
- Process Loan accounts
- Deal with Purchase ledger account queries/Reconcile Supplier Statements.
- Process weekly and monthly payment runs, process payments to suppliers via BACS.
- Raise sales invoices in accounting systems and email/post to customers
- Review overdue accounts, chase payments and resolve any queries..
- Reconcile credit card statements, ensuring all receipts are coded correctly.
- Assist the accountants.
- Prepare VAT returns for accountants
- Oversee the preparation of site files inc H&S information
What you will need:
- Leadership skills
- An HNC or 2 to 3 A Levels, especially in Maths and English or Business Studies, AAT qualification would be an advantage
- Proficient in the use of accounts software, desirable in the use of office 365, but must have an ability to learn, use and understand systems easily
- Experience with scheduling and payroll
- Ability to learn on the job and adapt easily to change
- Excellent verbal and written communication
- Training and experience in conflict resolution
- Management/Supervisory experience/training
- Previous experience working in the building industry
- Proactive and innovative to constantly improve the department and wider business
- Good decision maker
- Ability to delegate and develop others
- Good team worker
